The short version. We collect what we need to coach you: your name and email, your golf assessments and rounds, your birthdate and sex (to set your distance division), your coach’s notes, and basic sign-in and usage details. Your coach and our staff can see your golf data. Other members see only a leaderboard name and handicaps, and you can switch that off. We don’t sell your information, we don’t show ads, and we don’t track you across other apps or websites. You can delete your account at any time; your results are then kept only in a form that can’t be linked to you (section 9).
Graves Golf, of Edmond, Oklahoma, runs Scoring University, Single Plane University and the Scoring University member app (together, “the Services”), and is responsible for the personal information described here. Contact us at support@gravesgolf.com or (888) 974-2848.
| What | Examples | Why we need it |
|---|---|---|
| Account | Name, email address, display name, the way you sign in (email and password, or Google) | To create your account, sign you in, and contact you about it |
| Golf performance | Assessment results, rounds, scores, putts, fairways, greens, driving distance, handicaps by category, streaks, badges, verification by a coach | To measure your game and build your plan. This is the core of the Services |
| Birthdate and sex | Date of birth, men’s or women’s division | Only to set the distance standard your drives are rated against. Without them we cannot rate Driving Distance |
| Profile details you choose to add | Home course, handicap you report, photo | To personalise your dashboard |
| Coaching | Notes and assignments from your coach, your replies | To deliver coaching and keep a record of it |
| Application | Handicap, years playing, goals, timeline (if you apply through the website) | To assess fit and handle your enrollment |
| App activity | When you last opened the app, whether you added it to your home screen, which reminder emails were sent | To send useful reminders, stop sending them when you are active, and support you |
| Technical | IP address, device and browser type, error logs | Security, keeping you signed in, fixing problems |
We don’t collect your location, contacts, photos library, health data or payment card numbers in the app. The Services are for adults; we don’t knowingly collect information from children under 13. If you believe a child has given us information, contact us and we will delete it.
We don’t use your information for advertising, we don’t sell it, and we don’t track you across other companies’ apps or websites.
We share personal information only with companies that run parts of the Services for us. Each one may use it only to provide that service, under contract, and must protect it at least as well as this policy does.
| Who | What they do for us |
|---|---|
| Base44 | Hosts the member app and its database, handles sign-in, sends the app’s own emails |
| “Continue with Google” sign-in, if you choose it (Google shares your name and email with us), and Google Drive, where we keep private nightly backups of the app’s data | |
| Wistia | Plays the instruction videos |
| GoHighLevel and Ortto | Program and newsletter email, and booking calls with a coach |
We may also disclose information if the law requires it, to protect someone’s rights or safety, or as part of a sale or merger of the business, in which case we will tell you before your information falls under a different policy.
The app stores small pieces of data on your device to keep you signed in and remember settings (for example, that you have seen the welcome tour). It doesn’t use advertising cookies. The video player may store playback position.
Depending on where you live, you may have further rights. California residents have the rights to know, delete and correct, and to opt out of sale or sharing. We don’t sell or share personal information as the CCPA/CPRA defines those terms, and we won’t treat you differently for using your rights. In the UK and EEA, our legal bases are contract (to deliver the coaching you signed up for), legitimate interests (security and improving the Services), consent (marketing) and legal obligation, and you may complain to your data protection authority. We answer requests within the time the law sets, generally 30 to 45 days, after confirming it is you.
You can delete your Scoring University account. We delete your name, email, profile, coaching notes, assignments and reminders. Your assessment results and rounds are kept only without your name, email or any other detail that identifies you, so they can no longer be linked to you; we use them only for group figures, such as how quickly golfers improve.
Deleting your app account does not cancel a paid membership; cancel that with us as well. Payment and tax records are kept as described in section 7, and combined data that no longer identifies you may be kept.
We protect your information with database-level access rules, encryption in transit, role-based staff access, and server-side checks on anything that touches another member’s data. No system is perfectly secure. If a breach affects your information, we will tell you and any regulator as the law requires. Report a suspected vulnerability to support@gravesgolf.com.
We operate from the United States, and our providers may process information there. If you use the Services from outside the U.S., your information will be processed in the U.S., with safeguards such as Standard Contractual Clauses where required.
If we make a material change, we will tell you by email or in the app before it takes effect, and update the date at the top.
